The Facilities Coordinator will report to the General Manager in addition to offering support to the services managers/supervisors. You will be responsible for the day-to-day administration support of all services within the contract and aim to continuously improve the service delivery to the client & OCS

Responsibilities will include:

Operate Timegate system – including scheduling, reports and liaising with managers regarding compliance of Time and attendance.

Assist in managing holiday requests and calendars with all department managers. – managing Honeydew

Manage DBS applications to ensure compliance with contract

Control & maintain stationery stocks. Order stationery as & when requested and approved by managers.

Provide full administration support to the service & contract teams, including minute taking.

Ad hoc administrative tasks such as updating H&S Boards with new information, checking MyOCS page for new updates relating to various departments and business.

General filing either manually or electronically

Support with documentation and info for monthly reports

Support General Manager in delivery of social values action plan, and in collating measurable data

Analysis & presentation of monthly audit results and trends

Liaise with subcontractors as needed to ensure delivery of grounds maintenance, pest control and window cleaning

Working experience/Personal attributes:

Good working knowledge of administrative duties

Excellent PC skills to include Outlook, Word and Excel

Customer relations skills
