We are looking for a receptionist to provide efficient and professional reception and administration support to a customer site contract. You’ll process paperwork, update systems and file documentation. You’ll also ensure that a professional, corporate image is maintained through effective communication, liaising with customers and colleagues in an efficient manner both by telephone and in writing.

This position is part time, however, there will be a requirement for the successful candidates to cover for sickness and annual holidays of the reception team.

Main duties:

  • Greet and welcome guests as soon as they arrive at the office
  • Direct visitors to the appropriate person and office
  • Answer, screen and forward incoming phone calls
  • Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)
  • Provide basic and accurate information in-person and via phone/email
  • Receive, sort and distribute daily mail/deliveries
  • Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)
  • Update calendars and schedule meetings

You will need:

  • Professional manner with excellent customer service skills
  • Good working knowledge of administrative duties
  • Excellent PC skills to include Outlook, Word and Excel
  • High level of accuracy and attention to detail
  • Ability to work well under pressure in a fast moving and challenging environment
  • Enthusiasm, flexibility and team-working skills
