Main Duties:

Centre administration

  • Finance –preparing quotes for client, raising PO/invoice requests – training will be provided
  • Maintaining occupier contact records
  • Maintaining SmartSpace occupier communications – training will be provided
  • Occupier liaison, data collection and relationship building
  • Auditing website and social media for accuracy and liaising with marketing company to rectify errors
  • Maintaining accurate records to ensure compliance with H&S regulations and site audits
  • Reception duties including answering telephone, welcoming visitors, provision of refreshments
  • Maintenance of keys, logging in/out and auditing
  • General administration including drafting letters, scanning, filing, maintaining logs and trackers, uploading of documents to electronic files. 
  • Lost property records
  • Personnel admin – maintaining site training records, P files, holiday records
  • Support the centre manager with marketing
  •  

To be successful in the role, you will need:

Essential skills

 

  • Data protection compliance
  • Enter and maintain data on systems as required.
  • Good working knowledge of administrative processes
  • Ability to communicate effectively
  • Good organisational skills
  • Good IT skills to include Microsoft office 365 - Outlook, Word, PowerPoint, and Excel
  • Excellent customer service skills
  • A good knowledge of social media including Facebook, Instagram
  • Accuracy.
  • Ability to work independently and as part of a team. 
  • Notes and minute taking.
